Job Description

The Electricity Regulatory Authority (ERA) of Uganda is seeking a highly organised and experienced Executive Secretary to join its dynamic team in Kampala. This is a senior-level opportunity for a professional who excels in administrative management and executive support within Uganda's vital energy sector.

About the Role:
As the Executive Secretary, you will provide comprehensive administrative and secretarial support to senior management, ensuring the smooth and efficient operation of the executive office. You will be a central figure in managing communications, schedules, and critical documentation for one of Uganda's most important regulatory bodies.

Key Responsibilities:
• Manage the executive's calendar, appointments, travel arrangements, and meeting logistics.
• Prepare, draft, and proofread correspondence, reports, presentations, and official documents.
• Serve as the primary point of contact between the executive, internal staff, government bodies, and external stakeholders.
• Organise and coordinate high-level meetings, including preparing agendas, taking minutes, and following up on action items.
• Maintain an efficient filing and records management system, both electronic and physical.
• Handle confidential information with the utmost discretion and professionalism.
• Liaise with various departments to facilitate information flow and project coordination.

Requirements & Qualifications:
• A Bachelor's degree in Secretarial Studies, Office Management, Business Administration, or a related field from a recognised institution. A Master's degree is an added advantage.
• Minimum of 5 years of proven experience as an Executive Secretary, Personal Assistant, or similar senior administrative role, preferably within a government agency, parastatal, or large corporate organisation in Uganda.
• Exceptional proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Superior written and verbal communication skills in English.
• Excellent organisational, time-management, and multitasking abilities.
• High level of integrity, professionalism, and ability to work under pressure.
• Strong interpersonal skills and the ability to interact with people at all levels.
